This Privacy Policy explains how Robinline (“Robinline,” “we,” “us,” or “our”) collects, uses, and shares information when you visit our website, use our interactive demo, or use the Robinline software (together, the “Service”). By using the Service, you agree to this Policy.

Our role: controller and processor

For our own business contacts, account holders, and website visitors, Robinline acts as a “controller.” When our business customers use Robinline to run their operations, we process their customers' information (“End-Customer Data”) as a “processor” on their behalf and under their instructions. The business customer is responsible for that data and for having a lawful basis and consents to use it.

Information we collect

From account holders / business users: name, business name, email, phone, login credentials, billing details (handled by our payment processor), and how you use the Service.

From our website and interactive demo: if you try the demo, the business name you type and the messages you send to it; plus standard analytics and device data (such as IP address, browser type, and pages viewed).

On behalf of our business customers (End-Customer Data): the information a cleaning company's customers provide or generate, which can include names, phone numbers, email addresses, service addresses, job and scheduling details, message and call content (including transcripts), reviews, and payment status.

Meta Data Deletion (Facebook Lead Ads)

If you would like to request the deletion of your data collected through our Facebook Lead Ads application, please contact us at jack@robinline.com. We will process your request and delete all associated data within 30 days.

Upon receiving your request, we will permanently remove all personal information retrieved from the lead form, including your name, phone number, email address, and any custom form responses. We will notify you by the same email once it's been completed.

How we use information

  • Provide, operate, secure, and improve the Service;
  • Answer messages, generate quotes and replies, schedule jobs, request payments and reviews, and run follow-ups;
  • Process billing and prevent fraud and abuse (including rate-limiting the public demo);
  • Provide support and communicate with you about the Service;
  • Comply with legal obligations and enforce our terms.

Automated and AI processing

To answer messages and generate quotes and suggestions, message content, call transcripts, and related context may be processed by automated systems and third-party model providers acting as our subprocessors. We do not sell personal information, and we instruct our model providers not to use your content to train their general models where that option is available to us.

How we share information

We share information only as needed to run the Service, including with:

  • Service providers / subprocessors - e.g., cloud hosting, database, payment processing (Stripe), telephony and SMS providers, email delivery, AI model providers, and analytics;
  • Our business customers - End-Customer Data is made available to the business it belongs to;
  • Legal and safety - when required by law, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets.

We do not sell your personal information.

Text messages and calls

The Service sends and receives SMS and may handle calls. Consent to receive messages is obtained and managed by the business that contacts you, and you can opt out at any time (for example by replying STOP to a text). Message and data rates may apply. Messaging opt-in data is not shared with third parties for their own marketing.

Cookies and analytics

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. You can control cookies through your browser settings; some features may not work without them.

Data retention

We keep information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. When a business customer asks us to delete data we process on their behalf, we will delete or de-identify it within a reasonable period, except where retention is legally required.

Security

We use administrative, technical, and physical safeguards designed to protect information. No system is perfectly secure, and we cannot guarantee absolute security.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing (for example under GDPR or the CCPA/CPRA). To exercise these rights, contact us using the details below. If your information is processed by a business customer using Robinline, please contact that business directly; we will assist them as their processor.

Children

The Service is intended for businesses and is not directed to children under 18. We do not knowingly collect personal information from children.

International users

We operate in the United States and may process information there. If you access the Service from outside the U.S., you understand your information may be transferred to and processed in the U.S.

Changes to this Policy

We may update this Policy from time to time. If we make material changes, we will update the “Last updated” date above and take reasonable steps to notify you.
